The challenge

The new construction and commissioning of the “New Main” office building in The Hague / Rijswijk in the Netherlands also resulted in additional requirements for the CAFM system already in use. For a gross floor area of 85,000 m², statutory inspections and expert approvals of the building services and building technology had to be stored in the software in addition to the planning of maintenance and servicing. In addition, relevant processes had to be defined in the CAFM system, the users of the building services team had to be trained, quality checks of the maintenance had to be introduced and the documentation for the CAFM project had to be updated. Once the building services in the new building had been commissioned and implemented in the CAFM, the master data and processes also had to be implemented for the existing properties.

The solution

For the comprehensive implementation of the CAFM, the existing documentation was reviewed on site in the new building and later in the project for the existing buildings and all relevant documents as well as recurring maintenance, inspections, tests and expert approvals were stored in the CAFM software. Once the initial implementation of the software had been completed, the building technicians could be trained. Subsequently, further processes for quality assurance were created in the CAFM system, the training materials and the user manual were updated and handed over to the end users at the end of the project.

85,000 m² gross floor area in the new building, built in 2018, construction cost approx. EUR 200 million, existing building approx. 120,000 m² gross floor area from 1973. Fully equipped building services: sprinkler and fire alarm systems, elevators, electrical systems, security lighting, voice alarm systems, kitchen technology for a canteen kitchen and three cafeterias, access control, video surveillance, ventilation systems, refrigeration technology, façade access systems, sanitary technology, etc.
